Hoopy Frood Software ABN 64619637098 ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use HFProductManager or visit our website.

1. Information We Collect

1.1 Information You Provide to Us

  • Contact Information: When you contact us via email or our contact form, we collect your name, email address, and message content.
  • License Information: When you purchase a license, we collect your name, email address, and payment details (processed securely by our payment provider).

1.2 Data Stored Locally by HFProductManager

HFProductManager is a desktop application. The following data is stored only on your computer and is never transmitted to Hoopy Frood Software:

  • Shopify API Credentials: Your Client ID, Client Secret, and access tokens are encrypted using Windows DPAPI (Data Protection API) and stored in your user profile. We never have access to these credentials.
  • Product Data Cache: Product information from your Shopify store (titles, descriptions, prices, variants, inventory levels, images, metafields) is cached locally in a SQLite database for performance.
  • Sales Data: If you use sales reports, order and revenue data from your Shopify store is cached locally in a separate SQLite database.
  • Backup Data: When you perform bulk operations, the previous values are backed up locally so you can restore them if needed. Deleted product backups (including optionally cached images) are also stored locally.
  • Application Settings: Your preferences, window positions, column visibility, mapping profiles, and filter configurations are stored locally.
  • Log Files: A rolling application log (maximum 3 MB) is stored locally for troubleshooting. It contains operation summaries and error details but no customer data or credentials.

All local data is stored under %APPDATA%\HFProductManager and %LOCALAPPDATA%\HFProductManager. You can delete this data at any time through the uninstaller or by removing these folders.

1.3 Information We Do NOT Collect

We want to be explicit about what we never collect, transmit, or have access to:

  • Your Shopify product data, prices, inventory, or descriptions
  • Your customer or order information
  • Your Shopify API credentials or access tokens
  • Usage analytics, telemetry, or behavioural data from HFProductManager
  • Crash reports (unless you voluntarily send us your log file)

2. External Services HFProductManager Connects To

HFProductManager connects directly to the following external services using credentials you provide. We do not act as an intermediary for any of these connections.

2.1 Shopify

HFProductManager connects directly to the Shopify GraphQL Admin API using your store's Client ID and Client Secret. All communication uses HTTPS. Your product data flows directly between your computer and Shopify's servers. We never see, intercept, or store this data.

2.2 AI Services (Optional)

If you choose to use AI-powered features (description generation, title suggestions), HFProductManager sends product context (title, current description, vendor, type, price, tags) to your chosen AI provider using your own API key:

  • Google Gemini (generativelanguage.googleapis.com)
  • Anthropic Claude (api.anthropic.com)
  • OpenAI ChatGPT (api.openai.com)

AI features are entirely optional. Your AI API keys are encrypted locally and never shared with us. Your use of AI services is governed by each provider's own privacy policy and terms.

2.3 License Validation

HFProductManager contacts our license validation service to verify your license key. This transmits only:

  • Your license key
  • A machine identifier (derived from hardware characteristics)

No product data, store information, or personal data beyond what is listed above is transmitted during license validation.

2.4 Update Checking

HFProductManager periodically checks for software updates by downloading a small JSON file from our website over HTTPS. No data is sent to us during this check; the app simply reads the latest version number. You can disable update checking in Settings.

3. How We Use Your Information

We use the limited information we collect to:

  • Respond to your inquiries and support requests
  • Process license purchases and deliver license keys
  • Send important product updates and security notices
  • Improve our products and services

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Data Security

We implement appropriate security measures to protect your information:

  • Credential Encryption: All Shopify credentials and AI API keys are encrypted at rest using Windows DPAPI, which ties encryption to your Windows user account.
  • Transport Security: All external communication (Shopify API, license validation, update checks, AI services) uses HTTPS/TLS encryption.
  • Code Signing: HFProductManager binaries and installer are digitally signed with a verified code signing certificate to ensure integrity.
  • Local-First Architecture: Your store data never passes through our servers. It flows directly between your computer and Shopify.

5. Data Retention

  • Contact/Support Data: We retain correspondence for as long as necessary to provide support and comply with legal obligations.
  • License Data: We retain license records for the duration of your license plus any legally required period.
  • Local Application Data: Stored on your computer under your control. You can delete it at any time through the uninstaller (with the "Remove user data" option) or by deleting the application data folders.

You may request deletion of any personal information we hold at any time by contacting us.

6. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Object to processing of your personal information
  • Request a copy of your data in a portable format

Our products and services are not directed to children under 13. We do not knowingly collect personal information from children.
